‍SAFE360 RESPONDER PRIVACY POLICY

Version 1
Last updated: 20 October 2026

This policy explains what Safe360 collects while you work as a Responder, who can see it, and how long it is kept. It applies in addition to the Safe360 Privacy Policy. EMERGENCY WARNING SYSTEMS LTD, Australian Company Number 092 605 591 ("EWS," "we," "us") operates Safe360 for the organization that gave you the Responder role ("your organization").

You must accept this policy before your Responder role becomes active. We record the version you accepted and when. If we make a material change, you must accept the new version before you can start your next shift.

1. WHEN WE COLLECT INFORMATION
We collect Responder information only while you are on shift. We never collect Responder location while you are off shift.

A shift starts when you tap Start shift and ends when you tap End shift. While you are on shift, Safe360 shows a notification saying location sharing is on. It keeps sharing your location in the background, including when the screen is off or you have swiped the app away.

Sharing stops straight away when:

  • you end your shift;

  • your organization suspends or ends your membership, or you leave the organization;

  • you delete your Broadwick account; or

  • your shift is closed automatically after 16 hours (or the limit your organization sets).

If you use Android's Force stop, or your phone switches off, sharing stops until you open the app again. Your organization is told when your positions stop arriving.

2. INFORMATION WE COLLECT

  • Shift start and end record (when you start and end a shift): the time (our server's time and your phone's time), a photo taken live with the in-app camera (you cannot choose a photo from your gallery), your current location and its accuracy, and any unit, vehicle, call sign or note you add.

  • Shift location (throughout your shift): your location, speed, direction, accuracy and the time of each fix, about every 10 seconds while you are moving and about every 30 seconds while you are still. Each position also carries your battery level and your phone's make and model.

  • Fake-location check (every record and every position): whether your phone reports that its location is simulated or from a fake-GPS app.

  • Integrity signals (every record and every position): a digital signature from a key stored on your phone, a fingerprint (hash) of each shift photo, and the result of Android's device-integrity check where available.

  • Enrolment details (when you join your organization): answers your organization asks for, such as phone number, department, position, call sign and emergency contact name and phone.

Shift photos keep their original details (including the time and place embedded in the image file) so they can serve as evidence.

If Safe360 detects a fake or simulated location, it still lets you start and end shifts and share your location. It tells you on screen that a fake location was detected, and reports this to your organization with your records.

If you have no signal, Safe360 stores your records on your phone and sends them when you are back in coverage, marked as sent late. Unsent positions are discarded from your phone after 24 hours.

The Responder role is available on Android phones only.

3. HOW WE USE INFORMATION

  • To confirm when and where each shift started and ended.

  • To show your live location to your organization's authorized supervisors and dispatchers so they can coordinate the response and look after your safety.

  • To keep your organization's records of the work you did, and to detect records that may have been altered or faked.

We do not use Responder information for advertising, and we do not sell or rent it.

4. WHO CAN SEE IT

  • Your organization. Only people your organization has authorized (for example supervisors and dispatchers) can see your shift records. They can see your live location only while you are on shift.

  • EWS and our service providers. We store and process the information to run the service, using the providers named in the Safe360 Privacy Policy. Shift photos are kept in private, encrypted storage. Every time someone opens your evidence in the console, it is logged.

  • Others, only where required. We may disclose information if required by law, or to protect someone's safety in a genuine emergency.

Positions are encrypted between your phone and our servers, and each one is signed so that changes can be detected.

5. DATA RETENTION
Your shift records belong to your organization's records of your work.

  • While you have an account, we keep your shift records for the period your organization sets. If it sets none, we keep them while your Broadwick account exists.

  • Records are never edited. A correction is saved as a new record that refers to the original.

  • If you leave your organization, or it ends your membership, your shift records stay with your organization under its retention schedule.

  • If you delete your Broadwick account, any open shift is closed first. Your organization is told that you have left, and we delete your shift records, photos and location history as described in Section 5 of the Safe360 Privacy Policy. Your organization receives your shift records as they are made and may keep its own copy in its own systems under its own policies.

6. YOUR CHOICES

  • You can decline this policy. You will not be able to use the Responder role, but the rest of Safe360 works as normal.

  • You can end your shift at any time, which stops location sharing.

  • You can leave your organization, or delete your Broadwick account, at any time in the app.

  • You can ask for a copy of, or a correction to, your Responder information by emailing admin@ewsglobal.com.au. Questions about your employment records may also be directed to your organization.
